Job Profile: HR Services Specialist 3 Job Family: HR Services Time Type: Full time Max Pay - Depends on experience: $65,000.00 USD Annual Job Description: The Herberger Institute for Design and the Arts, Office of the Dean seeks an Academic Personnel Specialist Senior. This role is integral to the management and support of our staff who support faculty and academic personnel actions, ensuring smooth operation of faculty personnel processes and policy. The successful candidate will work closely with colleagues from 6 schools/academic units within the Institute to provide expert guidance while ensuring compliance with university standards. The Academic Personnel Specialist Senior reports to the Assistant Director of Academic Personnel. Under general supervision of the Assistant Director of Academic Personnel, the Academic Personnel Specialist Senior provides administrative and logistical support to the Vice Dean; interprets university policy; and works with academic units to provide expert support for academic personnel management, including faculty hiring, tenure and promotion. The Academic Personnel Specialist Senior manages academic personnel records and serves as one of two points of contact on complex and confidential academic personnel issues, investigates issues, gathers data, and provides details and options to the Vice Dean. Salary Range: $60,000 - $65,000; DOE Essential Duties: Monitors and coordinates submitted items for instructional and academic professional personnel hiring, promotion and tenure, and other academic processes across the academic units of the Herberger Institute for Design and the Arts. Serves as an expert of the dean's office to academic units to ensure established policies and procedures are followed, including hiring, promotion and tenure, multi-year renewals, sabbaticals, and annual evaluations. Monitors annual faculty evaluation process for faculty and academic professionals in the Herberger Institute. Consults with staff and others to coordinate, provide technical advice and problem-solving assistance as it pertains to academic personnel searches and hiring processes; ensures appropriate approvals and processes are followed. Serves as one of two main points of contact to coordinate academic bylaws and other academic personnel action criteria. Assists with the coordination of academic personnel processes, ensuring appropriate approvals and compliance are obtained, and maintains academic personnel files consistent with University policies and practices. May compose offer letters, notices of appointments/renewals and other academic correspondence for signature to ensure timely completion and distribution of all applicable documents. Analyzes data, makes recommendations and prepares complex recurring and ad hoc reports for the Vice Dean and other Institute leadership. Participates in meetings and conferences pertinent to area of responsibility. Interprets university and Board of Regents policy pertaining to faculty and academic professionals. Manages and maintains physical and electronic personnel files. Manages all faculty and academic professional personal transaction records, ensuring accurate and timely submission. Assists with any other special projects, reports, and duties as assigned. Desired Qualifications: Bachelor's degree in Human Resources, Business Administration, or a related field. Two or more years of experience in academic personnel administration or a related area, preferably in a higher education setting. In-depth knowledge of academic personnel policies and procedures. Strong organizational and project management skills. Excellent communication and interpersonal abilities. Ability to handle sensitive information with discretion and maintain confidentiality. Experience in data management and analysis. Experience with faculty recruitment and onboarding processes. Ability to work independently and collaboratively in a fast-paced environment. Demonstrated experience with resources databases, preferable Workday, Interfolio, Canvas, and Analytics Working Environment: Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to communicate effectively. Regular working schedule is Monday-Friday 8:00am-5:00pm. ASU offers flexible work arrangements which can be discussed and determined with the direct supervisor.
