Outreach Coordinator

Full-Time | Waring Vision Institute | Charleston, SC (with regular travel)

Waring Vision Institute is seeking a dynamic and motivated Outreach Coordinator to join our team. This full-time role is focused on growing our practice by building strong relationships with optometrists, primary care providers, and other healthcare professionals.

Key Responsibilities:

  • Promote Waring Vision Institute and its services to referring providers.
  • Educate healthcare professionals about our advanced vision care offerings.
  • Develop and execute outreach strategies to expand our referral network.
  • Travel regularly throughout Charleston and surrounding areas, with an eye toward statewide expansion.

Essential Responsibilities:
  • Provider Education & Relationship Building
  • Educate optometric and primary care practices about Waring Vision Institute (WVI) and the services we offer.
  • Build and maintain strong relationships with both new and existing optometrists and physicians by:
  • Conducting regular office visits
  • Meeting with doctors and practice managers
  • Delivering marketing collateral
  • Sending quarterly newsletters and outreach emails
  • Serving as the primary point of contact between WVI and partner practices
  • Event Planning & Provider Engagement
  • Coordinate and manage events with WVI doctors, optometrists, and industry leaders, including:
  • Weekly check-in calls
  • Educational dinners
  • Practice shadowing sessions
  • Continuing Education (CE) opportunities
  • Assist in the planning and execution of the annual Symposium
  • Strategic Growth & Industry Trends
  • Identify and pursue partnership opportunities by researching industry trends and targeting new practices.
  • Regularly attend optometric meetings and represent WVI through sponsorships or exhibitor booths.
  • Reporting & Analytics
  • Keep leadership informed through regular reporting, including:
  • Daily call reports
  • Weekly work plans
  • Monthly and annual territory performance analyses
  • Maintain a comprehensive referral master list including contact info, locations, referral activity, and rankings.
  • Client Coordination & Continuity of Care
  • Contact referred patients to set up profiles and schedule consultations.
  • Coordinate with continuity of care offices to arrange post-operative visits.
  • Community Outreach & Budget Management
  • Represent WVI at local health fairs, business expos, and community events by organizing booths and presentations.
  • Schedule and lead lunch-and-learn sessions with community organizations.
  • Manage an annual outreach budget, ensuring events are tracked for ROI and effectiveness.

Qualifications:
  • Minimum of 3 years in a sales-oriented role , preferably with outside sales experience
  • Bachelor’s degree or equivalent professional experience
  • Eligible to work in the United States
  • Experience in the medical field , community outreach , or business development is a strong plus
  • Self-motivated with a proactive, entrepreneurial mindset
  • Excellent verbal, written, and interpersonal communication skills
  • Strong organizational skills with high attention to detail
  • Proven ability to work effectively independently and as part of a collaborative team
